Resesystemet byts till SAP Travel och f\u00f6r kreditkorten kommer innehavarna att f\u00e5 r\u00e4kningen hem. Jag f\u00f6rst\u00e5r mycket v\u00e4l att framf\u00f6r allt kreditkorten v\u00e4cker k\u00e4nslor. Jag ska h\u00e4r f\u00f6rklara varf\u00f6r vi g\u00f6r detta.<\/p>\n<p>Jag b\u00f6rjar med det enklare: bytet av resesystem. Det var oundvikligt, eftersom v\u00e5r gamla Aditro Travel &amp; Expense kommer att st\u00e4ngas ner. SAP Travel erbjuds av Certia och fungerar f\u00f6r slutanv\u00e4ndarna &#8211; resen\u00e4rerna och godk\u00e4nnarna &#8211; i samma portal d\u00e4r vi har Martti, allts\u00e5 sakgranskningen och godk\u00e4nnandet av ink\u00f6psfakturor. Det nya systemet \u00e4r smidigare och mera intuitivt \u00e4n v\u00e5rt gamla, och d\u00e4rmed f\u00f6rv\u00e4ntar vi oss att resen\u00e4rerna och godk\u00e4nnarna kommer att anv\u00e4nda mindre tid p\u00e5 resehanteringen \u00e4n tidigare. Vi har ocks\u00e5 sett \u00f6ver reseprinciperna och kommer att slopa kravet p\u00e5 formella resplaner f\u00f6r inrikes resor. Resplanerna ans\u00e5gs ha l\u00e5gt informationsv\u00e4rde och vara ett o\u00e4ndam\u00e5lsenligt extra steg. Utrikes resor \u00e4r mera s\u00e4llsynta, dyrare och resplanerna f\u00f6rser akademin med informationen om var v\u00e5ra anst\u00e4llda befinner oss, skulle n\u00e5gon krissituation uppst\u00e5 n\u00e5gonstans. Det har kommit fr\u00e5gor s\u00e5som &#8221;litar ni inte p\u00e5 oss?&#8221; och &#8221;m\u00e5ste man betala \u00c5A:s utgifter f\u00f6rst sj\u00e4lv, f\u00f6re man f\u00e5r pengarna?&#8221;. De h\u00e4r \u00e4r de mest allm\u00e4nna fr\u00e5gorna, s\u00e5 jag vill besvara dem redan nu.<\/p>\n<p>Det \u00e4r inte fr\u00e5ga om brist p\u00e5 f\u00f6rtroende. Det \u00e4r vedertagen praxis i olika organisationer att kortinnehavarna f\u00e5r fakturan hem, och arbetsgivaren ger kortet garanti. Det \u00e4ndrar sist och slutligen v\u00e4ldigt lite i praktiken. Visst, man m\u00e5ste se till att man betalar fakturan i tid. Men det \u00e4r en faktura per m\u00e5nad, f\u00f6rutsatt att man anv\u00e4nder kortet varje m\u00e5nad. Banken kommer att erbjuda e-fakturering s\u00e5 betalningen \u00e4r l\u00e4tt att g\u00f6ra. Andra \u00e4ndringar \u00e4r v\u00e4ldigt f\u00e5 &#8211; man har hittills ocks\u00e5 varit tvungen att f\u00f6rklara sin kortanv\u00e4ndning i resesystemet. Det borde bli l\u00e4ttare f\u00f6r slutanv\u00e4ndaren att g\u00f6ra sina rese- eller kostnadsers\u00e4ttningsans\u00f6kningar, eftersom kreditkorten kommer att vara kopplade till det nya resesystemet. Transaktionerna kommer att finnas f\u00e4rdigt i resesystemet och man kan l\u00e4tt plocka dem till sin reser\u00e4kning. Tack vare det nya systemet kan vi undvika extra utredningar och eventuella \u00e5terkrav p\u00e5 pengar i efterskott, som \u00e4r enligt min mening felanv\u00e4ndning av resurser och som kunde anv\u00e4ndas mycket b\u00e4ttre.<\/p>\n<p>I samband med att processer ses \u00f6ver, ska de byggas som s\u00e5dana att de f\u00f6rebygger missbruk och risker. Jag vill upprepa, att det inte \u00e4r fr\u00e5ga om brist p\u00e5 f\u00f6rtroende. Det \u00e4r fr\u00e5ga om helhetsriskbed\u00f6mning. Vi f\u00f6redrar att undvika risker i st\u00e4llet f\u00f6r att r\u00e4tta till saker efter\u00e5t. Denna approach g\u00e4ller inte bara resande, utan \u00e4r en av nyckelfr\u00e5gorna i all processutveckling. Det nya systemet synligg\u00f6r ocks\u00e5 mera tydligt de anskaffningskanaler som anv\u00e4nds vid \u00c5bo Akademi.<\/p>\n<p>Man ska inte heller beh\u00f6va betala r\u00e4kningen sj\u00e4lv f\u00f6rst. Banken skickar fakturan m\u00e5natligen, allts\u00e5 1-4 veckor efter sj\u00e4lva transaktionen. D\u00e4rtill har man 30 dagars betaltid. Man har allts\u00e5 gott om tid att ans\u00f6ka om och f\u00e5 pengarna f\u00f6re f\u00f6rfallodagen. Vi kommer ocks\u00e5 att betala ut ers\u00e4ttningarna oftare, en g\u00e5ng per vecka.<\/p>\n<p>Jag \u00e4r sj\u00e4lv \u00f6vertygad om att denna \u00e4ndring kommer att underl\u00e4tta resen\u00e4rernas arbete. Jag \u00e4r mycket medveten om att framf\u00f6r allt den forskande och undervisande personalen k\u00e4nner en b\u00f6rda av det administrativa arbetet. The T&amp;E system will be switched to SAP Travel and the credit card invoices will be sent home to the cardholders. I can very well understand that in particular the credit cards are causing mixed feelings. I will in this post explain why we do this.<\/p>\n<p>Let me begin with the easy part: the change of T&amp;E system. It was unavoidable, as our old Aditro Travel &amp; Expense is end-of-life and will be shut down. SAP Travel is provided to us by Certia, and the end users &#8211; travellers and approvers &#8211; will be using the same portal where we have Martti, our purchase invoice review and approval activities. The new system is more smooth and intuitive than our old one, and thus we are anticipating that the travellers and approvers will have to spend less time on travel &amp; expense management than before. We have also reviewed the travel principles and decided to remove the requirement for formal travel plans for domestic travel. The domestic travel plans were deemed to have low added value and therefore an unnecessary extra step. International travel is less common, more expensive and the travel plans provide \u00c5AU with information on where our employees are located, in case a crisis situation would emerge somewhere. The new T&amp;E portal is also accessible with mobile devices, so you can upload photos of your receipts to the system already during your trip.<\/p>\n<p>The \u00c5AU credit cards will follow a new process from October onwards. The detail which has caused most questions to arise is that the credit card invoices will be sent home to the cardholders. I have received questions such as &#8221;do you not trust us?&#8221; and &#8221;do I have to pay up personally first and only then get my money back?&#8221;. These two are the most common questions, so I want to answer them already now.<\/p>\n<p>It is not a question of mistrust. It is a best practice, which is utilized in various organisations, that the cardholders get the invoice home, and the employer issues a guarantee on the card. In the end, and in practice, this change is very minor. Sure, you must ensure that you pay the invoice on time. However, it is one invoice per month, provided of course that you use your card every month. The bank will also offer e-invoicing, making the invoice handling even smoother. Other changes are also scarce &#8211; you have already now been obliged to disclose of every single expense and usage of your card in the T&amp;E system. Going forward, you do it as well, only in a more streamlined system. It ought to be easier for the end user to do any travel or expense claims, as all credit cards will be linked to the new system. All card transactions will be transferred overnight to the system and it&#8217;s easy to pick the relevant ones to your claim. Thanks to the new system, we also avoid additional investigations and possible repayment demands, which in my opinion is wrongful usage of resources and the time could be used much more effectively.<\/p>\n<p>As the processes are thoroughly reviewed, they will also be built so that they prevent abuse and risks. I repeat, this is not a question of mistrust. It&#8217;s a case of overall risk management. We prefer to avoid risks instead of correcting them afterwards. This does not only apply to travel processes, but is a key element in all process development. The new system will also increase transparency in all procurement channels that are used at \u00c5AU.<\/p>\n<p>You will also not need to pay up first. The bank will send the invoices monthly, practically 1-4 weeks after the transaction. And the invoice will have 30 days until due date. Therefore, you will have ample time to make your travel claim and get reimbursed before you will have to make payment. We will also start paying out the reimbursements more frequently, once per week.<\/p>\n<p>I am personally very convinced that this change will cause less burden on the travellers. I am very aware that in particular the academic staff are struggling with the load of administrative work.
